Commercial Espresso Machine Maintenance Schedule

The complete daily, weekly, monthly, quarterly, and annual maintenance checklist - from the technicians who maintain machines in our own shops every day.

Why Maintenance Matters

A commercial espresso machine is a significant investment, from $5,000 to $25,000 or more. Proper maintenance is the difference between a machine that runs beautifully for 15+ years and one that costs you thousands in emergency repairs within a few years. It also directly affects drink quality. A poorly maintained machine produces worse espresso, period.

We maintain our own machines at three high-volume drive-thrus in Tampa Bay. This isn't a theoretical schedule - it's what we actually do. We've refined it over years of daily use and hundreds of service calls on other people's machines.

Daily Maintenance

These tasks should be done every day, ideally at the end of each shift:

Task Why
Backflush group heads with clean water Removes coffee oils and fine grounds from the group valves, add Cafiza at end of night
Purge and wipe steam wands Prevents milk buildup from hardening and clogging the wand, do this after every use
Empty and rinse the drip tray Prevents overflow and bacteria growth
Wipe down the machine exterior Keeps coffee and milk residue from building up on surfaces
Brush out the group head screens Removes ground coffee trapped behind the dispersion screen

Weekly Maintenance

Task Why
Backflush with espresso machine detergent Dissolves built-up coffee oils that water alone can't remove
Soak portafilter baskets and shower screens Deep cleans parts that accumulate rancid oils over the week
Clean steam wand tips thoroughly (soak if needed) Removes hardened milk protein from steam holes
Clean the drip tray drain tube Prevents clogs and drainage issues
Inspect group gaskets for wear Catches leaks early before they damage other components

Detergent Matters

Use a detergent designed for espresso machines (like Cafiza or Biocaf). Dish soap and household cleaners can damage seals and leave residue that affects flavor. Follow the manufacturer's recommended concentration.

Monthly Maintenance

Task Why
Replace group head gaskets (if showing wear) Worn gaskets cause pressure loss and messy portafilter leaks
Inspect and replace shower screens Clogged or corroded screens cause uneven water distribution
Check water filtration (replace cartridge on schedule) Poor water quality is the #1 cause of scale buildup and machine damage. Replace every 3-6 months depending on use
Lubricate cam levers or paddle mechanisms Keeps mechanical parts operating smoothly
Inspect portafilter springs and baskets Worn baskets affect extraction quality

Quarterly Maintenance

Task Why
Deep clean the drip tray housing and internal drain Removes hidden mold and buildup in areas daily cleaning misses
Inspect steam boiler pressure and safety valve Ensures safe operating pressure and functional relief
Test and calibrate brew temperature Temperature drift happens gradually and affects extraction
Check pump pressure and adjust if needed Pump wear can slowly change brew pressure over time
Inspect all water line connections for leaks Small leaks become expensive water damage over time

Annual Maintenance

Annual maintenance is best done by a professional technician. This is the full tune-up that keeps your machine running for the long haul:

Full descale of boilers and heat exchangers Removes mineral scale that reduces heating efficiency and causes damage
Replace boiler gaskets and seals Preventative replacement before age-related failure
Rebuild or replace group head internals Restores consistent water flow and pressure through the group
Inspect and service the pump Vane or rotary pump wear affects pressure and longevity
Inspect electrical connections and heating elements Prevents element failure and potential safety issues
Replace water filtration system Full filter and head replacement ensures water quality protection
Full calibration of temperature, pressure, and volumetrics Returns machine to factory-spec performance

Water Quality Is Everything

More espresso machines are damaged by poor water quality than any other single factor. Hard water causes scale buildup that clogs boilers, reduces heating efficiency, and eventually destroys components. Test your water and invest in proper filtration. It's the cheapest insurance you can buy for a machine that costs thousands.

When to Call a Technician

Some things are best left to professionals. Call a technician if you notice:

  • Temperature inconsistency or the machine failing to reach temperature
  • Unusual noises from the pump or boiler
  • Water leaking from inside the machine (not the drip tray area)
  • Pressure gauge readings outside normal range
  • Electrical issues (tripping breakers, error codes, unresponsive controls)
  • Steam performance dropping noticeably

Catching problems early almost always costs less than waiting. If something doesn't seem right, it's better to ask a tech than to let it get worse.
